WorkBee is a cloud-based field service management platform operated by Xymel Ltd, a company registered in England and Wales (Company No. 17252809). WorkBee allows trade businesses to manage jobs, rounds, quotes, invoices, compliance certificates, and field engineering teams.
2. Eligibility and accounts
- You must be at least 18 years old and have authority to bind your business to these terms
- You may only create one account per business unless agreed otherwise
- You are responsible for keeping your login credentials secure
- You must provide accurate information during registration and keep it up to date
- We may suspend or terminate accounts that provide false information
3. Subscription plans and payment
3.1 Plans
WorkBee is offered on subscription plans (Free, Starter, Growth, Pro). Plan features and limits are described on the pricing page at getworkbee.com/#pricing and may be updated from time to time with reasonable notice.
3.2 Free trial
Paid plans include a 30-day free trial. No credit card is required to start a trial. At the end of the trial, your account will automatically revert to the Free plan unless you add payment details.
3.3 Billing
- Subscriptions are billed monthly or annually in advance
- Payments are processed by Stripe. We do not store your card details
- Prices are in GBP and exclusive of VAT where applicable
- We will give at least 30 days' notice of any price changes
3.4 Cancellation and refunds
- You can cancel your subscription at any time from your billing settings
- Cancellation takes effect at the end of the current billing period — you retain access until then
- We do not offer refunds for partial periods, except where required by law
- On cancellation, your data is retained for 12 months then permanently deleted
4. Acceptable use
You agree not to:
- Use WorkBee for any unlawful purpose or in violation of any applicable laws
- Attempt to gain unauthorised access to any part of the platform or another user's account
- Upload or transmit malware, viruses, or any harmful code
- Use the platform to harass, abuse, or harm any person
- Resell, sublicense, or otherwise commercialise access to WorkBee without our written consent
- Reverse engineer, decompile, or attempt to extract source code from the platform
- Use automated scripts to access the platform in a way that exceeds normal usage
5. Your data
You own all data you enter into WorkBee (customer records, jobs, invoices, certificates, etc.). We process this data on your behalf as a data processor. You are the data controller for your customers' personal data and are responsible for having a lawful basis to process it.
We will not access, use, or disclose your business data except to provide the service, comply with a legal obligation, or with your explicit permission. See our Privacy Policy and Data Processing Agreement (available on request) for full details.
6. Service availability
- We aim for 99.9% uptime but do not guarantee uninterrupted availability
- Scheduled maintenance will be announced in advance where practicable
- We are not liable for downtime caused by third-party infrastructure (Supabase, Vercel, etc.)
- We provide a status page and will notify users of significant outages by email
7. Intellectual property
WorkBee, the WorkBee logo, Buzz mascot, and all associated software, designs, and content are owned by Xymel Ltd and protected by copyright and other intellectual property laws.
We grant you a limited, non-exclusive, non-transferable licence to use WorkBee for your internal business purposes during your subscription. This licence does not transfer any ownership rights to you.
8. Third-party integrations
WorkBee integrates with third-party services including Stripe, GoCardless, Xero, QuickBooks, and Mapbox. Your use of these integrations is also governed by those providers' terms. We are not responsible for the availability or conduct of third-party services.
9. Limitation of liability
To the maximum extent permitted by law:
- WorkBee is provided "as is" without warranties of any kind beyond those implied by law
- We are not liable for indirect, consequential, or incidental losses including loss of profit, revenue, or data
- Our total liability to you in any 12-month period is limited to the fees you paid to us in that period
- Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law
10. Termination
Either party may terminate this agreement with 30 days' notice. We may terminate or suspend your account immediately if:
- You materially breach these terms and fail to remedy the breach within 14 days of notice
- You fail to pay subscription fees and the arrears remain unpaid for 14 days
- You use WorkBee for any illegal purpose
- We are required to do so by law
On termination, your access will cease and we will retain your data for 12 months before permanently deleting it. You may export your data at any time before termination.
11. Changes to these terms
We may update these terms from time to time. We will notify you by email at least 30 days before material changes take effect. Continued use of WorkBee after the effective date constitutes acceptance of the updated terms. If you do not agree, you may cancel before the changes take effect.
12. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
